Running a Board-Ready Review

How to prepare and present Patrol Analytics to a board or HOA — what to export, what to lead with, and how to tell the story — use it ahead of a quarterly board meeting or leadership review.

Quarterly board meetings and HOA reviews are where Patrol Analytics earns its keep. The cadence is the full report: filter to the last 90 days, export to PDF, and walk leadership through coverage, trends, and program improvements.

For how to open the report, set a date range, and read each section, see Patrol Analytics – Understanding Your Community Enforcement Activity. This article assumes you're looking at the report and asking "what should I do about this?"

Preparation

  1. Filter the report to the relevant period (typically 90 days).

  2. Click Export PDF to generate a shareable copy.

  3. Take notes on the three or four storylines you want to highlight — coverage consistency, top violation types, trend direction, and any specific actions you took based on the data.

What to lead with

  • "Here's the headline." One sentence on overall program health — improving, holding, or declining.

  • Patrol coverage. Days patrolled vs. days in the period. This is your evidence that the enforcement program is real.

  • Violation trend. Is the total trending down? That's resident compliance improving — a story leadership wants to hear.

  • Specific actions you took. "We saw a hotspot at the garage entrance, added signage in March, violations at that location dropped 40% in April." Concrete cause-and-effect is far more persuasive than raw numbers.

  • What's next. One or two specific improvements you're planning, with measurable outcomes.
