How user roles work

Last updated: November 4, 2026

Every user on your ParkingPass account has a role. The role decides what that person can see, edit, and approve. Giving each team member the right role keeps your account secure while giving everyone the access they need.

How it works

ParkingPass has four roles to choose from for property staff.

Property Manager

Full administrative access. Property Managers can approve applications, manage residents and vehicles, change community settings, manage staff, oversee patrol, view all reports, and access Revenue Share. Use this role for anyone running your community's parking program end to end.

Office Staff

Day-to-day access. Office Staff can manage residents and vehicles, approve applications, create guest passes, and view standard reports. They can't change community settings, add or remove staff, or access sensitive financial settings. Use this role for front-office team members who handle resident questions and routine approvals.

Patrol Manager

Patrol oversight access. Patrol Managers can manage the Do-Not-Tow list, place and manage patrol holds, review patrol activity, and run patrol reports. They usually don't need billing or lease information. Use this role for the person who coordinates patrol, whether that's with a patrol partner or your own team.

Patrol Staff

On-the-ground patrol access. Patrol Staff can issue violations, check whether a vehicle is authorized, and view the Do-Not-Tow list. Their management access is limited. Use this role for the individual people who patrol your community.

"Limited" means the role can take some related actions, with restrictions. For example, Office Staff can review some disputes but can't request adjudication.

Who can use it

  • Only Property Managers can assign or change roles.

What you can do with it

Common questions

Which role should I pick?

  • Property Manager: anyone with overall responsibility for your parking program, including deputies who need full access.

  • Office Staff: front-desk and leasing team members who handle resident questions and routine approvals.

  • Patrol Manager: the person who coordinates patrol and manages enforcement exceptions, like the Do-Not-Tow list and patrol holds.

  • Patrol Staff: the individual people who patrol.

When in doubt, choose the more restrictive role. You can give the user more access later.

A new leasing agent is starting. What role do they need?

Office Staff. It covers resident-facing work without access to community settings.

We have a new patrol partner. How are their staff added?

ParkingPass adds them during onboarding. Their staff are usually set up as Patrol Staff, and their lead as Patrol Manager. See Changing patrol vendors.

A team member is leaving. What should I do?

Remove their access right away. In Users, open the Select Action dropdown on their row and choose the deactivation option. See Adding additional property management users.

Someone can't access a feature they used to use. Why?

Their role may have changed. Check their role in Users.

Important notes

  • Roles control which features a user can access, not what data they see inside a feature. For example, Property Managers and Office Staff see the same resident profiles.

  • Each user only sees data for the communities they're assigned to.

  • Removing a user's access takes effect the next time they reload the page.

  • Roles can change as ParkingPass adds features. Watch What's New on your dashboard for updates.
